Summary
The position of Administrative Assistant requires an individual who can provide academic and professional support within the program, department, school, university, and community. He/she must be committed to the centrality of a Trine University education and possess the ability to support faculty in achieving excellence in teaching, scholarship, outreach, and engagement. He/she should have a broad understanding of appropriate academic programs and potential future directions, as well as be flexible, visionary, creative and energetic. He/ she performs administrative duties to support the program and it’s administration, faculty, students and committees. This position will provide service to the university, while fully supporting Trine’s mission of preparing students to succeed, lead, and serve. The Administrative Assistant reports to the chair.
Essential Duties and Responsibilities
- Serve as receptionist for the department, answering phones and greeting visitors (Customer Service)
- Research, assemble, create and distribute correspondence, reports, syllabi, and other program documentation with a high level of accuracy
- Text book adoptions through the Trine Bookstore
- Minute taking for department
- Maintain and distribute forms or other materials
- Assist the department chair with budgets
- Assist the department chair with program promoting
- Create and maintain effective filing systems
- Employ office technology and equipment including computers, laptops, printers, scanners, copiers, etc.
- Assist with classroom, office and laboratory technology use
- Purchase program supplies and equipment as directed
- Assist with student admissions and orientation processes
- Interact and assist faculty and students as needed
- Scheduling capstones, advising schedules, and preparing for SOAR
- Additional duties and assignments as prescribed by the department chair
- Attend faculty department and school meetings and participate in faculty committees including program strategic plan, advisory boards, and accreditation
- Assist in the collection of material for the ABET visit
Education and/or Experience
- Minimum of two (2) years of administrative support with a record of excellence
- High level of computer and computer software literacy required (MS Office with Excel)
- Ability to train others on complex processes
Salary
The salary is competitive and commensurate with experience and qualifications.
